Group Planner – Hotel Events & Meetings

About the role

The Group Planner at Moxy Utrecht is the primary liaison between guests, the Event Booking Center and hotel operations. You will ensure every group meeting, event and catering service runs smoothly from booking to post‑event follow‑up, delivering a seamless guest experience.

Key responsibilities

• Take over group bookings from the EBC, act as the main contact for organizers before, during and after events.
• Prepare detailed rooming lists, event documentation and manage deposits, invoicing and cut‑off dates.
• Coordinate with front office, housekeeping, F&B and kitchen to guarantee operational readiness.
• Oversee reservation accuracy, GXP and Guest Planning Screen, and verify e‑certificate redemptions.
• Ensure accurate billing for rooms, F&B and equipment, manage deposits and payment schedules.
• Host guests on‑site, gather feedback after events and respond to reviews.
• Maintain knowledge of hotel inventory, manage restaurant reservation lists for group dining and keep department heads informed of upcoming business.

Required profile

• Strong communication and interpersonal abilities.
• Minimum 1 year of experience in a similar events or group‑meeting role.
• Proven track record in planning and executing group meetings and events.
• Quick learner comfortable with online tools and systems.
• Familiarity with Marriott Bonvoy points tools is a plus.

Required skills

• Proficiency with Opera, Opera Sales & Catering and SFA.
• Advanced Microsoft Office skills.
• Experience with Symphony (preferred).
